Meeting Rooms

Who

Meeting rooms are available for use by non-profit organizations and community groups of at least 10 people for meetings or programs of a civic, cultural, or educational nature. Meetings convened by these Groups must be free of charge and open to the public.

Meeting rooms may not be used for commercial or social purposes.

Promotional or advertising campaigns directed at profit-making may not be conducted in Rooms.

Applicants (representing the Group) must be 18 years of age or older.  Groups must have at least one adult representative present at all meetings.

 

Cost

Use of Rooms, tables and chairs and listed equipment is free of charge.

 

Responsibilities of the Organization

Groups are responsible for set up and take down of meeting room furniture.  Any set up and take down time must be indicated in the room reservation.

All meetings must conclude 15 minutes prior to the building’s closing; all Groups must exit the building at closing.

**Publicity for events not sponsored by HCLS must include the statement, Not an official Howard County Library System event, and a non-Library phone number for information.

 

Reservations

Groups may request a reservation for meeting rooms for the current month plus the next month.

Individual Groups may not use Rooms more than 12 times a year or more frequently than once a week for a six-week period. If demand is heavy, reservation requests may be denied to allow other Groups use of the room.

When the rooms are not in use, individuals may use the rooms until the next reservation begins. 

 

Confirmations

Reservations accepted into the system are considered Pending and will be reviewed within 48 hours, after which, they will either be Approved or Declined. Customers will be notified by email of the status of the reservation.  (Remember to check your inbox and junk/spam mail.)  If you haven't received the status email after 48 hours, please call the meeting room line at 410-313-7712. 

 

Cancellation

Cancellations may be made using the link in the confirmation email.

HCLS requests that Groups provide 24 hours of notice for any meeting cancellation. Failure to provide this notice may jeopardize future bookings.

Reservations for Rooms will be automatically canceled when HCLS closes for inclement weather or emergency situations.

 

 

 

Group Study Rooms

HCLS group study rooms featuring worktables, chairs, and electrical outlets are available at the East Columbia, Elkridge and Miller branches.  Private study rooms are for groups of 2 to 5 people.

 

Cost

Use of group study rooms, tables and chairs and listed equipment is free of charge.

 

Reservations

Group study rooms may be reserved once per day, up to 24 hours in advance.  Group study rooms may be reserved for up to 2 hours at a time.

 

Confirmations

Group study room reservations are automatically approved and customers will receive an email confirmation as soon as the reservation has been accepted in the system.

 

Cancellation

Cancellations may be made using the link in the confirmation email.
